Import Herd Data

Importing Errors

Associations may modify the data they export from time to time. Virtual Herd expects the import file to match the import template exactly.

If you get an importing error, please open a ticket. Please attach the file to the ticket.

Lot Numbers

Lot numbers are not imported through the standard Virtual Herd import filters. To update a batch of lot numbers, please see “Updating Lot Numbers”

Import: Step-by-step guide

  1. Click on the “Import Livestock” link in the left navigation

  2. Find the “Breed Association” in the list and Click the “Select” button next to it

  3. Multiple Import Sources? Find the “Import Source” matching your exported data file and Click the “Select” button

  4. Enter Form Information

    1. EPD Title (required): Usually you would enter something like “As of 2/15/20”

    2. Select the “Category” or “Related Sale” for bulls and females
      NOTE: Assigning a category or sale is not required. If they are not selected you may have to assign them manually. If you are simply updating EPDs of current livestock records, you do not have to select a category or sale.

    3. Select the “Import Mode” to use when importing

    4. Registration Numbers (optional): If you have a whole herd file to import, you may wish to restrict the import to only a few registration numbers. You can restrict the import to the registration numbers entered into this field. All other records will be ignored.

    5. Overwrite Footnotes: If the file has footnotes, you may choose to overwrite “Catalog Footnotes” within Virtual Herd. This does not overwrite the footnotes on your web page.

  5. Click the “Choose File” to select your exported .CSV file

  6. Click the “Import” button in the top right of the page

Livestock records will be imported and approved immediately. If you want to import records but not have them show up on your website right away, do not select any categories or related sales. You will have to edit each record and assign them manually. Note that records previously assigned to a category and approved will be displayed on your website regardless.
