Upload Video and Pictures for Livestock Sale Lots

Virtual Herd allows you to easily upload batches of videos and pictures for your livestock sale.

A Word about Naming Video and Picture Files

Virtual Herd can import files based on a naming convention that you choose. In order for Virtual Herd to properly match your media file with a livestock record, you must enter a file mask that corresponds to your file name.

The following placeholders may be used. The file mask must contain at least one.

  • {{lot}}

  • {{tattoo}}

  • {{tag}}

  • {{registration}}

Example: Let’s say you have the following file names using the tattoo number

  • 2020_sale_9087.png

  • 2020_sale_1098.png

  • 2020_sale_2876.mp4

You would use the following file mask: 2020_sale_{{tattoo}}

Uploading multiple files for a single record is not supported. If you have multiple images that you want to upload for a single record, you will need to run multiple batch uploads

Updating Lot Numbers while Importing Media

Virtual Herd allows you to update the lot numbers if they are included in the file name and there is another field to match

Example: Let’s say you have the following file names using the tattoo number and lot number

  • Lot_001_9087.png

  • Lot_012_1098.png

  • Lot_99_2876.png

You would use the following file mask: Lot_{{lot}}_{{tattoo}}

Batch Upload: Step-by-step guide

Begin by editing the livestock sale you want to upload media

  1. Click on the “Lots” tab within the sale

  2. Click on the “Upload Lot Photos, Videos, and Files” button

  3. Enter Form Fields

    1. File Mask: The file mask is used to find the correct record within the sale. Note only livestock records assigned to the current sale will be updated.

    2. Import Mode

      1. Append Media: Add media to the matched record

      2. Set as Default: Add media to the matched record and set it as the default video or picture

      3. Replace Default: Add media to the matched record, replacing the current default media file. All other video and pictures will remain

    3. Update Lot Numbers

  4. Drag and Drop pictures and video onto the “Drop Area”, or Click “Add Files” to select media from your computer

  5. Click the green “Upload Files” button. Video and pictures will upload one at a time

What if there is no match or I get an error message?

If a match cannot be found, an error will display and the upload process will stop. Simply note the file that did not upload, and remove it from the queue.

  1. Note the file that did not upload

  2. Click the “Minus” sign to the right of the file to remove it from the queue.

  3. Click the “Upload Files” button to continue to upload the batch of video and pictures.
